(-REVIEW PENDING-) Add Contacts

Contact represents a party you interact with on a regular basis to operate your business. It is best to create a new contact when:

  • you enter an agreement with a new party that will majorly affect your business.

  • you increase dealing with an existing party.

Setting up your contacts in the Eshopbox app will help you to:

  • track and manage activities of multiple contacts with your business at a single place,

  • communicate and store important information about your contacts you may need,

  • enable seamless integration with your contacts using the Eshopbox app, and

  • much more.

Before you start

  • You have all the required details to create a new contact.

  • You know all the custom fields you need to create.

How it works

Add Your Contact

To create a new contact, navigate to Settings > Contacts > + Set Up Your Contact.

You will be directed to the Set Up Your Contact page.

Provide Details for Your Contact

Here is the list of attributes you would have to provide to set up a new contact:

  1. Identify your contact

    1. Contact Name will help you identify the party for which the contact is created.

    2. Contact Code will help you map your contact with your accounting software like SAP. The code you provide will be used as a key identifier to push or pull transactions from your accounting software. Make sure you provide the exact same code used by your accounting software.

    3. Tax Identification Number (Optional) only if your contact is a business entity. This will help you to file your taxes.

    4. Eshopbox Network Key (Optional) enables you to connect and interact with other Eshopbox workspaces. Each Eshopbox workspace has a unique and private network key. You can only find out which organizations use Eshopbox app through your business dealings with them and you need to ask them for their network key. Add your contact's network key to:

      1. send consignments to your contacts fulfillment centers.

      2. create payables in your contact's workspace for the receivables owed to you.

      3. create receivables in your contact's workspace for the payables you owed them.

  2. Contact information (Optional)

    1. Address

      1. Address Lines of your contact's registered address.

      2. Pincode of your contact's registered address.

      3. City in which your contact operates.

      4. State in which your contact operates.

      5. The country in which your contact operates.

    2. Email(s) address you use to reach your contact.

    3. Phone Number(s) you use to reach your contact.

  3. Custom Fields will help you create any new attribute that you deem necessary for your contact. You can also assign your contact a custom attribute made previously for any contact. These are non-mandatory attributes.

  4. Define Your Contact Type: A contact can have multiple types. You can also edit this field later. Assigning your contacts a type would enable the Eshopbox app to group your contacts, so you can track all contacts of a specific type at once.

Vendors

You should select -

  • Vendors if the contact either

    • Supplies you some inventory or

    • Offers some services to you. E.g. Shipping provider, Payment Gateway provider, E-commerce Platform provider, Fulfilment provider, etc.
      Vendors will be available while creating consignments, order as well as configuring fees.

  • Customers type contact will be available while creating Orders.

  • Collection agent if the contact collects payment on behalf of you from the customers. You can define contact rules to identify payment for which order is collected by which contact. You can then add a payout received from such contact for reconciling receivables.

After providing all the necessary information, click on save.

Great, you have successfully created a new contact. You will now be redirected to the contacts' main pane, where you can track your contacts. Learn how to track your contacts.

You might find contacts being automatically created. This is based on your subscription choices. When you subscribe to:

  • a sales channel, a new contact will be created for the associated seller account with types as Collection Agents and Vendors.

  • a fulfillment center, a new contact will be created for the fulfillment provider with type as Vendors.

Such contacts are created with just the contact name attribute. Make sure to edit and provide all relevant details. Learn how to edit contacts.
