Delivering Consignments

In this article, you will learn the best practices to deliver inventory to Eshopbox by adhering to the standard delivery guidelines. This article will help you understand the Standard delivery guidelines of Eshopbox.

Step I: Planning the delivery

You need to plan the delivery of your consignment by adhering to the following guidelines:

  • Consignments can only be delivered on the scheduled date and time.

  • The entire consignment needs to be delivered in one batch. If the entire inventory is not ready, you can reschedule the appointment, or cancel it and create a new consignment.

  • If you have updated incorrect information about your consignment, you can create a new consignment with updated information.

  • You can use any transporter or third-party courier provider to deliver the consignment. Eshopbox recommends you update the tracking details along with the consignment on the workspace. This helps Eshopbox maintain consignment records.

  • The vehicle needs to confirm that they are delivering the consignment in the scheduled slot. Two different vehicles cannot confirm for the same consignment number unless the consignment is too large to deliver in a single-vehicle.

Step II: Verifying the document

When your consignment arrives at the Eshopox fulfilment center, you need to include the printout of the email confirmation from Eshopbox for the delivery of the consignment. You must carry two copies of the documents. The printout should include the following details:

  • Scheduled slot detail: It should include the scheduled date and time slot

  • Fulfillment center (Sent to) address: This should include the complete address of the Eshopbox FC, where the consignment is being sent. Also, include GST detail with it.

  • Signature and stamp of a signatory authority from your end.

  • Consignment number: You must mention the consignment number that Eshopbox provides at consignment creation.

  • Document number: The date and time of the scheduled slots, along with the document number, should be present on the document.

  • The total number of boxes in the consignment.

  • The total number of units in a consignment.

  • Invoice amount: The total amount mentioned on the invoice.

  • E-Sugam/Waybills: Please make sure you fill the e-Sugam/waybills on the date of movement for all the consignments from the warehouse to the Eshopbox. Preferably the e-Sugam number on the STN/Delivery challan documents.

Step III: Unloading the vehicle

You must ensure your box has the below details at the time of delivery:

  • Box label: You should paste the label on each box as shown in the below diagram:

The label must have the following information:

  1. Consignment Number generated at the time of creating Inward consignment. The reference number of the document (e.g., Invoice, Stock transfer note) is sent along with the inventory. You should use the same reference number while scheduling the consignment. Each carton should have a unique Box Number. At the time of creating consignment, mention the box number in the inward consignment template. This information is useful to reconcile in case of a shortage. Include the number of boxes total in this shipment (i.e., “Box 1 of 4”)

  2. From: Your company name and address.

  3. To: The warehouse destination address.

  4. Other Info: Mention the weight of the box. At the time of unloading, Eshopbox will weigh the cartons and highlight if there is a difference from the weight mentioned on the label. This step helps in identifying if there is any inventory leakage during transport.

💡 Unloading of the vehicle needs to be done by the transporter itself at the Eshopbox dock. In case you want Eshopbox to take care of the unloading charges will apply.

  • After unloading, Eshopbox will label all the boxes as per the number of boxes mentioned in the document. In case your boxes are more than what you mentioned in the document. Eshopbox will not accept access boxes.

  • Eshopbox will verify if there is any tampering or damage on the box. Measure the actual weight, and match it with the weight on the label applied by you.

  • Eshopbox ensures the box has followed the standard packaging guidelines. They will weigh all the boxes at the dock itself. This is to check if there is any discrepancy in the box’s weight and what you deliver.

Acknowledgment slip

Eshopbox will provide you with an acknowledgment slip once unloading is done. The acknowledgment slip will include an official stamp and an authorized signature. This slip is a confirmation that Eshopox has received your inventory. The acknowledgment document will include the following details:

  1. The consignment number is generated when creating consignment—the date on which you hand over the consignment and the invoice number specified on your invoice.

  2. The delivery detail will include the name of the courier company or driver name, delivering the consignment. The tracking number is to track the courier. If you provide driver names, you need to provide vehicle numbers.

  3. Invoice details like invoice quantity and amount. Also, the number of boxes you're delivered.

  4. Box details will include the details of damaged boxes, the number of boxes out of total boxes, and no. of boxes found damaged. If the box has a weight mismatch, Eshopbox will notify you of the confirmation mail of delivery.

  5. The guidelines section will list down all the guidelines which you followed or not followed during the delivery process. Slip also includes below two notes:

💡 This acknowledgment is only for the number of boxes received and not for the number of the unit.

💡 Consignment Inward can get delayed in case delivery guidelines are not followed.

 

Reason for delivery rejections

Eshopbox can reject consignment because of the following reasons:

  • A delivery that may cause health & safety risks to Eshopbox.

  • Any wet or crushed box or damaged inventory.

  • No document verification at Eshopbox.

  • Non-container deliveries of loose-loaded items.

  • Eshopbox may exclude carriers from the site if they cannot adhere to site safety rules.

  • Non-cooperative or abusive drivers cannot comply with the site.

Eshopbox may refuse deliveries outside of the reasons explained above. If they deem the delivery unsafe, against health and safety or any other requirements are not satisfactorily matched.
