Conducting a Scrum/Daily-standup meeting

What is a scrum meeting?

A daily scrum or stand-up is a daily meeting that involves the core team: product owners, developers, and the scrum master. A scrum meeting must be completed within 15-30 minutes. At Eshopbox we use three simple questions to generate structure:

  • What did I work on yesterday?

  • What am I working on today?

  • What issues are blocking me?

These questions highlight progress and help flag team blockers. 

  • Who all are required to attend the meeting: Development team, scrum master, product owner

  • When does the scrum meeting happen: Once per day, typically in the morning.

Requirements of a scrum meeting:

  • You are required to be ready with the answers to the above questions prior to the meeting.

  • You are required to have the updated status of your issues ready prior to the meeting.

  • You are required to have blockers or dependency if any, handy prior to the meeting.

  • You are required to have ETDs ready for the tasks which were not achieved as per their completion date.

Before the scrum meeting starts

  1. You will navigate to your project in Jira Software

  2. Click on “Issues” from the left toolbar

  3. Click on “Advanced Search

  4. You will see four pre-defined filters on the left under the heading “Starred”

  5. The four filters are as follows:

    1. Completed Last Day: This filter consists of issues that have transitioned to “Done” status in the last 24 hours. In other words, the issues on which you have worked, in the last 24 hours

    2. Planned for Today: This filter consists of issues that are at the status “In Progress” in the last 24 hours. In other words, the issues on which you will work on, in the next 24 hours.

      1. You are required to update the status of your issues, which you plan to work on today, from “To Do” to “In Progress” before the scrum meeting

    3. Team Summary: This filter consists of issues that are at the status, “In Progress” and “Done” for the entire team in the last 24 hours.

    4. I am Blocked: This filter consists of issues which are at the status “In Progress” and the assignee is is facing a blocker because of a reason.

      1. You are required to update the field, “Blocked?“ before the scrum meeting for the issues where you cannot proceed further due to a blocker.

  6. You will select your project from the “Project” filter at the top for the scrum meeting and in the “Assignee” filter select yourself.

During the meeting

  1. The issues in the above three filters will be the basis of discussion of your work during the meeting.

  2. You will explain any blockers if any as indicated by the “Blocked” field value.

After a scrum meeting:

  • A daily scrum mail needs to be drafted and mailed to all stakeholders including the C.T.O. and HR Team, by the on-call person from the team for the week. The on-call person is the Scrum master for that week and manages the co-ordination for the week.

    • Click on the symbol as shown after selecting the filter “Team Summary”:

    • A report would be generated in Google Sheets with all the displayed columns.

    • Share this report on mail with all stakeholder everyday till the sprint lasts.

When conducting the Scrum meeting on Monday change the “Updated” filter as shown but, do not save the filter.
