Billing party creation

When is this required?

The brand team will email to create a billing party when the brand has enrolled for a new FC.

Checks before creating billing party:

1. Login to Pipefy and check-in pipe ‘FC enrollment’ and ‘FC enrollment (new)’ that the card for the brand for the specific FC location is created and moved to ‘enrolled’ status.

2. Check if the GST is available for the same location or not (attached in Pipefy card or can be obtained from the brand manager)

3. The logo for the brand is available or not (attached in Pipefy card or can be obtained from the brand manager)

4. The signature should contain a company stamp. If there is no stamp with the signatures, email it back to the brand manager to take approval from Mayur sir. If the signatures are digital take approval from accounts team.

If any of the above points are not fulfilled, do not initiate steps for creating a billing party.

How to do it?

1. Log in to unicommerce > settings > billing parties

2. The name will be the legal name from GST

3. Code will be brandName_FClocationcode. Refer table

4. Attach logo and signature

5. Enter GSTIN from the GST certificate

6. Enter PAN number. Paste the GSTIN number in this and remove the first 2 letters and last 3 letters. For example, if GSTIN is HGYTVU1244BVIB. PAN number will become YTVU1244B.

7. Billing address: Provide address line 1, city, pin code, state and country from earlier created billing party for the same location.

8. Provide the same details in the shipping address.

9. For the contact number add 9999999999.

10. Click on add billing party

Once the billing party is created, go to the sequence tab and add a prefix in the sale invoice column. Refer to below table for the same.
